Who this covers

Inkwell is a note-taking and operations workspace provided by Paul Moore (sole trader), trading as Inkwell, which is the data controller for the personal data described here. This policy explains what the app stores about the person signed in, and applies to the website and the Android app that loads it. Contact: paulmmoore3416@gmail.com.

What Inkwell stores

  • Your content: notes, notebooks, sections, tags, checklists, tasks, projects, calendar events, meeting notes, resumes, cover letters and job applications.
  • Files you attach: images and documents you add to notes.
  • Account details: the email address and name from the account you sign in with, so your content can be linked to you.
  • Preferences: theme, language, layout and audio device choices.

Microphone and recordings

The microphone is used only while you are recording a voice note, running a meeting, or using live translation, and only after you allow it. Audio is sent to a speech-to-text service to produce a transcript, and the transcript is saved to your note. Recordings are not used for advertising and are not sold.

Connected accounts

If you connect Microsoft (OneDrive and Outlook) or LinkedIn, Inkwell uses those connections only for what you ask it to do: copying your notes into your own OneDrive folder, creating calendar events, sending email you compose, reading your own LinkedIn profile, and posting updates you write. Inkwell does not read your mailbox or browse your contacts. You can disconnect an account at any time, which stops all further access.

Where your data lives

Content is stored in your browser or app on your device, and in Inkwell's hosted database so it can sync between your devices. If you turn on the OneDrive copy, a second copy is written to your own Microsoft account. Transfers use encrypted connections.

Why we process it, and on what basis

  • To provide the service — creating your account, storing and syncing your content, running the features you invoke. Basis: performance of our contract with you.
  • Security and fraud prevention — sign-in records, abuse and error diagnostics. Basis: our legitimate interests.
  • Microphone, AI and connected accounts — only when you switch them on. Basis: your consent, which you can withdraw at any time.
  • Tax, accounting and legal obligations tied to a paid plan. Basis: legal obligation.

Sharing

Inkwell does not sell your data or show advertising. Data is shared only with the categories of recipients needed to run the app:

  • hosting, database and storage providers;
  • speech-to-text and AI providers, for the features you invoke;
  • Paddle.com Market Limited, our reseller and Merchant of Record, for selling paid plans, managing subscriptions, taking payment, invoicing and tax compliance;
  • the accounts you explicitly connect (Microsoft, LinkedIn);
  • professional advisers, and authorities where the law requires it.

Where data is transferred outside the UK or EEA, it is protected by standard contractual clauses or an adequacy decision.

How long we keep it

Your content is kept while your account exists. Deleted notes sit in the trash for 30 days and are then removed. Billing records are kept as long as tax law requires. When data is no longer needed it is deleted or anonymised.

Security

We use appropriate technical and organisational measures: encrypted connections, encrypted storage at rest, row-level access rules so an account can only reach its own content, and restricted administrative access.

Cookies and local storage

Inkwell uses only essential cookies and browser storage — to keep you signed in, to hold your notes offline, and to remember your theme and layout. There are no advertising or tracking cookies. Clearing your browser storage signs you out and removes the local copy.

Your rights

You can ask for access to your data, correction, erasure, restriction, portability, or to object to processing, and you can withdraw consent at any time. Email paulmmoore3416@gmail.com and we will respond within one month. If you are in the UK or EEA you may also complain to your data protection supervisory authority.

Your choices

  • Export everything as Markdown files or a single backup file at any time.
  • Delete individual notes, empty the trash, or restore from a backup.
  • Disconnect Microsoft or LinkedIn to revoke access.
  • Request full deletion of your account and stored content.

Children

Inkwell is not intended for children under 13.

Changes

If this policy changes, the date at the top is updated. Continuing to use Inkwell after a change means the updated policy applies.
